The ideal candidate will have good interpersonal skills combined with experience using an electronic medical record or the willingness and ability to learn how to use an electronic medical record. The candidate will have good communication skills and will work well with others on the team. The candidate must be able to multi-task and prioritize. Use of a telephone, scanner, OCR card scanner, and printer/fax machine will be required.
Specific Job Responsibilities include:
1. Greet patients as they walk through the front door
2. Ensure that all New Patient Forms are completed by the patient and scanned into the patients chart in eClinical Works (abbreviated "ECW," ie. the electronic medical record).
3. Direct each New Patient to complete the Authorization for Use/Disclosure of Protected Health Information Form and then fax this completed form to the former primary care provider.
4. Ensure there are enough copies of these forms attached to clipboards and ready for the patient to complete.
5. Scan the patients drivers license into ECW using the Optical Character Recognition (OCR) card scanner.
6. Scan the patients insurance card(s)into ECW using the OCR card scanner.
7. Once the above is completed, mark the patient as Arrived in ECW.
8. Notify the Medical Assistant verbally that the patient is ready to be brought back into an exam room.
9. After the patients visit with the doctor, check the Info screen in ECW to see if the patient has a Co-pay. If they do, collect the Co-pay. This may be in cash, check, or credit/debit card. Follow written procedures for processing each type of payment.
10. Schedule the next appointment for the patient in ECW.
11. Print an After Visit Summary from ECW.
12. Mark the patient as Checked Out in ECW.
13. Answer all phone calls. Example: Chalfont Internal Medicine, this is _________, how may I help you today? Document all Telephone Encounters involving patients in a telephone encounter in ECW as directed.
14. Retrieve voicemail messages in the morning from overnight and as they appear during the day.
15. Schedule Appointments in ECW for both new and existing patients calling to schedule appointments. Follow written directions for scheduling different types of appointments.
16. Check Zoc Doc (a doctor appointment scheduling website) daily for new appointments to confirm
17. Check your ECW Jellybeans (particularly T and D jellybeans) between patients throughout the day and complete any tasks assigned through those messages.
18. Scan all patient documents into the correct patients chart in ECW per written directions for each type of document.
19. Shred any documents that contain a patients protected health information after they have been scanned into ECW.
20. At the end of the business day, verify insurance for the patients scheduled for the next day. Most of the time this can be done through ECW. In some cases, we may need to use payor websites: PEAR, Navinet, Availity, United Healthcare, or Cigna. If all else fails, call the number on the back of the insurance card.
21. At the end of the business day, print the Day Sheet(s) from ECW. Follow written directions for handling cash/check payments at the end of the day. File day sheets as directed.
22. Maintain the filing cabinets at the Front Desk and in the Medical Assistants area.
23. Strive to keep the Front Desk neat and free of clutter.
