Position: Part-time Front Desk & Intake Associate Job Description: The front desk and intake associate handles receptionist and Clerical and Administrative duties at the desk of the main entrance. This person is the face of the Agency for all clients and visitors and will be responsible for the first impression we make. The front desk & intake associate ensures that everyone who enters feels welcomed and comfortable. As intake associates, all new clients are processed for scheduling with counselors.
Essential Roles and Responsibilities
Process intakes
Assist the client through the completion of intake paperwork.
Assign the client to a counselor.
Verify insurance eligibility.
Day-to-day collection of copays and invoicing client session bills
Cross-training in the billing department
Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.)
Greet and welcome guests and clients
Answer questions and address complaints
Answer all incoming calls and redirect them or keep messages
Receive letters, packages, etc., and distribute them
Keep updated records and files
Knowledge, Skills, and Abilities
Proven experience as a front desk agent or relevant position
Familiarity with office machines (e.g., fax, printer, etc.)
Proficient in Microsoft Word, Excel
Proficient in English (oral and written)
Strong communication and interpersonal skills
Good organizational and multi-tasking abilities
Problem-solving skills
Client-orientation approach
Friendly and easy-going personality while also being very perceptive and disciplined.
Handle complaints and give accurate information.
The goal is to make clients and visitors feel comfortable and valued while on our premises.
Education
High School diploma/Associate degree preferred
Front desk experience preferred
Familiar with NaviNet preferred
Hours
Monday - Thursday, 5pm to 9pm & Saturday's 8am - 2pm.
