Johnson & Johnson Health Care Systems is looking for an Sr. Administrative Assistant located in Titusville, New Jersey. This is an exciting administrative opportunity in the Strategic Customer Group supporting the Senior Director Strategy and Operations, Head of Institutional Business Group and Head of Regional and Government Accounts and their Field Teams. This position includes complex administrative duties and project-oriented assignments with competing deadlines requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems. Critical capabilities include flexibility, approachability, advanced organizational skills, attention to detail, sense of urgency, follow through, and proactivity.
Under minimal supervision, the individual will perform advanced administrative duties:
Manage complex and dynamic calendars, arrange meetings (all logistical details, technology, etc.) and assist with conference schedule management.
Organize domestic travel arrangements through Concur and prepare expense reports.
Independently organize large internal department meetings on and offsite, virtual and in-person, including scheduling, agendas, materials, room, catering, equipment, etc.
Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff with relevant reminders of upcoming events and projected related deadlines.
Prepare and edit organizational charts, update distribution lists, Javelin rosters, and maintain SharePoint information including upload/update files as appropriate. Prepare and handle highly confidential correspondence and file system management.
Coordinate recruiting activities, communication with candidates, schedule candidate interviews and interviewer debriefs, and assist with onboarding/transition of new team members (IT equipment, lockers, etc.), terminations
Coordinate Internal & External Customer Interaction/Partnering
Maintain the SAM TEAM Distribution lists.
Routine budget ARIBA and e-marketplace management and Totality: processing contracts, sponsorships, display fees, purchase orders, and quarterly accruals.
Contribute to the master SCG and SAM Events calendar.
Position may require coordination of and attendance at events outside of normal business hours (less than 5% of the time).

Qualifications
A high school diploma is required; Associate degree is preferred, but not required.
A minimum of 4 years of previous administrative support experience is required.
Experience supporting Sr. Director level and Field Team is preferred.
Individual must be customer and employee focused, able to multi- task, and work under minimal supervision.
Strong calendar management and meeting scheduling dealing with multiple time zones is required.
Must have strong computer skills and proficiency with productivity tools and portal technology (Our Source, WebEx, Concur, Ariba, Aravo, Totality, E-Marketplace, Javelin, Global Connect, Share point, Zoom, Teams).
Proficient with the use of Microsoft office technologies (Power Point, Word, Excel, Outlook).
Must have excellent verbal and written communication skills, exceptional interpersonal skills, and ability to partner collaboratively with Assistants.
Ability to successfully work in a fast -paced environment with constant shifting priorities required.
Meticulous orientation to detail and must possess strong communication and organizational skills.
Sense of urgency and follow through while demonstrating a high degree of professionalism is required.
Demonstrated experience interacting with senior level management and maintaining a high level of confidentiality is required.
Self-starter mentality with a strong sense of ownership and involvement is required.
Ability to demonstrate that you can partner effectively with the team that you support as well as work collaboratively among our administrative assistant team.
For US based candidates the base pay range for this position is 50,000 to $80,500. The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporationÆs performance over a calendar/ performance year. Bonuses are awarded at the CompanyÆs discretion on an individual basis.
